Speak Up Policy – Aqua Premium & Ibex Delivery Services

 

At Aqua Premium, together with our delivery partner Ibex Delivery Services, we are committed to the highest standards of integrity, transparency, and accountability. We encourage employees, delivery crew, customers, suppliers, and business partners to speak up if they witness or suspect any unethical behavior, fraud, or violations of law or company policies.

This policy ensures that concerns are raised in a safe and confidential way, without fear of retaliation.


1. Purpose

  • Provide a secure and confidential way to raise concerns.

  • Protect individuals who speak up from retaliation.

  • Ensure all concerns are reviewed promptly, fairly, and objectively.


2. Scope

This policy applies to:

  • Aqua Premium employees.

  • Ibex Delivery Services crew and contractors.

  • Suppliers, partners, and service providers.

  • Customers and stakeholders.


3. What You Can Speak Up About

Examples include but are not limited to:

  • Fraud, theft, or financial irregularities.

  • Corruption, bribery, or conflicts of interest.

  • Delivery misconduct (mishandling orders, negligence, customer abuse).

  • Health, safety, or environmental violations.

  • Harassment, discrimination, or abuse of authority.

  • Misuse of assets, data, or confidential information.

  • Any other unethical, illegal, or improper conduct.


4. Fraud Reporting (Special Focus)

Fraud is treated with the highest priority by Aqua Premium and Ibex. Examples of fraud include:

  • Misuse or theft of funds or company property.

  • Forgery, falsification of records, or misrepresentation.

  • Manipulating invoices, receipts, or delivery documents.

  • Unauthorized discounts, refunds, or financial adjustments.

  • Any intentional act to deceive, gain unfair advantage, or cause financial loss.

All fraud-related reports are escalated immediately to the Compliance Department and may also be reported to law enforcement authorities.


5. How to Raise a Concern

Concerns can be reported through:

Concerns regarding Ibex Delivery crew will be jointly reviewed by Aqua Premium and Ibex management. Reports may also be submitted anonymously.


6. Protection Against Retaliation

No one will face retaliation for speaking up in good faith. Retaliation of any kind will result in disciplinary action, up to and including termination of employment or contracts.


7. Review & Action Process

  • Concerns acknowledged within 5 working days.

  • Investigation carried out impartially.

  • Corrective and disciplinary action taken if misconduct is confirmed.

  • Feedback provided to the reporter, where appropriate.


8. False or Malicious Reports

Intentionally false or malicious reports are prohibited and may result in disciplinary or legal action.
